    Dear boss, colleague, customer,

    We messed up, and we are extremely sorry. We had the best intentions to complete the project on time, advance ship the materials, bring the project in under budget but a series of unexpected circumstances prevented me/us from doing so.

    I’ll spare you the sordid details about computers going down, the office fire, missed flights but please be assured this is not our typical way of doing business. In fact, our track record is so strong that this is the first occurrence of this nature.

    Please accept our small gift, revised budget, credit to your account as a gesture of our apology. We value our working relationship, your business, the history we have together and would never intentionally jeopardize it.

    Moving forward, we are putting in place some checks and balances to make sure this kind of thing does not happen again

    Do let me know if there is anything else I/we can do to help remedy the situation. We look forward to working with you in the future, continuing our working relationship, building on our association and am confident we can successfully do so.
